The Role 

Based in Tirana, the Administrative Assistant will be working under the direct supervision of Head of Administration.  

The Administrative Assistant will provide comprehensive administrative and organizational support to the Head of Administration and contribute to the smooth and effective functioning of the College of Europe in Tirana. 

The main tasks and responsibilities will include: 

  • Provide direct administrative and organizational support to the Head of Administration. 
  • Manage calendars, appointments, meetings and daily schedules, ensuring effective coordination and prioritization. 
  • Prepare correspondence, reports, presentations, meeting agendas, minutes and other administrative documents. 
  • Coordinate communication between the Head of Administration, employees, academic departments, management and external stakeholders. 
  • Organize, maintain and update administrative files, records and documentation, both digitally and physically. 
  • Monitor incoming and outgoing correspondence and ensure that communications and requests are followed up and responded to in a timely manner. 
  • Follow up on assigned tasks, deadlines, action points and departmental requests, ensuring appropriate coordination and timely completion. 
  • Organize and coordinate meetings, including scheduling, preparation of agendas, logistical arrangements and preparation of accurate meeting minutes when required. 
  • Coordinate with other services and academic departments to support efficient and effective administrative processes. 
  • Assist with travel arrangements, meetings, events and other activities organized by the College of Europe in Tirana. 
  • Support the Head of Administration in managing administrative processes and coordinating meetings and communication with staff and other stakeholders. 
  • Handle formal correspondence and administrative communication with internal and external entities, ensuring that organizational standards and procedures are followed. 
  • Manage protocol-related administrative tasks, including the preparation of official documents and formal communications with external entities. 
  • Provide administrative support to management and colleagues as required. 
  • Perform other administrative duties and responsibilities as assigned by the Head of Administration. 

Your Profile 

For the position of Administrative Assistant, the College is looking for candidates with: 

  • A bachelor’s or master’s degree in Business Administration, Management, Public Administration, Social Sciences, or a related field. 
  • A minimum of 1 year of experience in an administrative role in an academic or international environment. 
  • Ability to work independently and prioritize multiple tasks effectively. 
  • Strong attention to detail and accuracy. 
  • A professional, discreet and trustworthy approach to confidential information. 
  • Excellent organizational and time-management skills. 
  • Proficiency in Microsoft Office Suite. 
  • Ability to work effectively with colleagues at different levels of the organization. 
  • A results-oriented, proactive and cooperative approach. 
  • Excellent written and verbal communication skills in English and Albanian (essential).
